BEING able to write clearly is one of the most important skills for many job roles – whether you are writing a 50-page report for a client or a one-page briefing note for your manager.

For many people, it is also one of the most difficult skills to develop. You might have excellent knowledge and some great ideas, but if you can't communicate this information clearly, then you may find it difficult to progress to the next level in your organisation.

If you are having trouble with your writing, don't get discouraged. While good writing comes more easily to some people than others, everyone can improve their writing. Here are a few simple tips that will improve your writing – and therefore improve your value to your employer.

Plan your writing
Before you start writing, spend a few minutes to develop the outline of what you are going to write. For a large report, this will involve writing down all the main headings and subheadings. For a smaller document, it might be enough to jot down the main points. This will give your writing a clear structure, so that all your main points follow a logical order.

Know your target audience
Think about who will be reading this document. What does the reader want to know? How much do they already know about the subject? Will they understand technical jargon? Remember, your main objective is that the reader understands everything you write.

Use meaningful headings
Use headings and subheadings that give the reader a clear idea of what is to follow. For example, the heading "Impact on Profit" is more informative than "Financial Aspects". Similarly, titles for tables and charts should be specific, so that the reader instantly knows what information is being presented.

Use fewer words
Say what you have to say in as few words as possible, provided you still get your message across. When you review your first draft, look for opportunities to delete unnecessary words. Avoid starting sentences with long, unnecessary introductions such as: "Another important point in this argument is that". Instead, simply write: "In addition". Avoid unnecessary phrases such as "It is a fact that" and "at this point in time".

Use simple language
Use short and simple words wherever possible. Don't try to impress the reader with long or complicated words. For example, "the factory makes telephones" is easier to read than "the processing plant manufactures communications devices". Only use technical jargon if it is really necessary and the reader will understand it.

Use short sentences
Your writing will be easier to read if you use short sentences that contain only one thought. Avoid long sentences that link two or three thoughts together. For your document as a whole, aim for an average of 15 to 20 words per sentence – although some sentences can be shorter and others longer.
If you average more than 25 words per sentence, you need to break up your sentences or remove unnecessary words. You can calculate your average words per sentence in Microsoft Word – see "display readability statistics" in Microsoft Word Help for details.

Use paragraphs effectively
Break up your writing with plenty of paragraphs. Each paragraph should contain only one main point. In general, the first sentence in a paragraph should summarise or introduce what you are going to say in the rest of the paragraph.
A good test for your writing is: If somebody only read the first sentence of every paragraph, would they understand what I am writing about?

Remember: a picture tells a thousand words
We use diagrams, tables and charts because they describe something more effectively than words. There is no need to write in detail all the statistics contained in a chart. Simply highlight the main points presented in the chart.

Support your writing with evidence
A common – and dangerous – mistake is to misrepresent your opinion as a fact. Make it clear to the reader whether a statement is a fact or an opinion. Wherever possible, support what you say with evidence.

Review your first draft
Always review what you have written before you show your manager. Make sure that your document follows a logical order, is easy to understand and gets across your main messages. Be on the lookout for long or confusing sentences.

Two Days Training Keeps a Family Living

Living with HIV/AIDS for years, Horm Aun, a 40-year old widow is struggling hard for the life of 7 members in the family. Moving from Kampot province in 2003, the family was not able to buy a house in the city. The family rented a house in Borei Key La area which cost $15 per month. Living in the city is more expensive than the province, Horm Aun started her business as a fruit seller and her husband is a motor taxi driver. The family has 5 children and an old mother.

One year later in 2004, Horm Aun become the only person to feed the whole family, big burden came as her husband died because of HIV/AIDS disease. Horm Aun started to realize that she also was affected the disease from her husband until she tasted the blood. "I was very shocked and despaired in life", Horm Aun described her first feeling. She continues she would not have eaten, did nothing for the whole day and she lost weight from 55 Kg to 47 kg only a few days. She has lived in a desperate situation. She received ARV treatment in 2005 up to now; regularly she has to get the medicine from the hospital once a month.

Shortly after her husband dead, Horm Aun's health condition started to get worst and she was not able to do the business, she was often sick and felt tired. The family's living condition started to fall down since nobody could work until organizations came and help.

In an effort to help build people's living, Friend organization provided several sewing machines to the families. Like other families, only 2 days trained at Friend organization, Horm Aun was very skilled in bag sewing for family's survival during 2006. She has to buy all the materials and sell all the bags to the Friend organization.

Every day she has to work approximately 6-8 hours per day depending to her strength. In average she could earn about 60000 Riels per week which the only main sources of income for the family of other 6 members, 5 are children and an old mother. All the children are going to school. The 20 year old and 15 year old daughters are trained in sewing in Friend organization, the third child is on grade 3, the forth child is on grade 1 and the youngest one is in kindergarten.

Life is not easy for a woman alone to feed a big family especially when she is also living with HIV/AIDS disease. Sometimes the family happens to financial problem because of her seriousness of the disease, she could do nothing. Daily expenditure on food, water gets from bag sewing. It is from 10000-15000 Riels to pay on food, rice, and meat. It is one month already, the water was cut off; the family has to buy a private water which cost from 1000-1200 Riels per day. Children are vulnerable to the disease due to bad sanitation around the community and the house is flooded when the rain comes.

Presently, the families are receiving some supports from different organization. From HOPE organization, Horm Aun family received 12 Kg of rice and medicine whenever the members get sick. She is provided counseling about the disease and home based care.

However, the benefit from sewing machine does give her an independent unit because she could make her own living. She emphasized "sewing machine gets me stand up and a hope for the future of my children".

Horm Aun family is one of the 52 HIV/AIDS families, all are renters in Borei Key La in Veal Vong Commune, 7 Makara district, Phnom Penh. Due to the city development, all the families were mover to live at another Conner of the same area in Borei Key La. The house made by zinc were arranged from the municipality and still located on a private land. One year, after their settlement, later the municipality announced that the families have to relocate to Toul Sombo village, Mean Chey district, about 20 Km from the city. The land is also provided by the municipality.

I recently got back from a huge 4 day internet marketing seminar in Austin, Texas. What I found there where two groups of people – those making hundreds of thousands of dollars a year on the internet, and those who weren’t making anything.

There were very few people in between.

It’s a real eye opener to witness first hand the difference in behavior from those who make a ton of money online, and those who don’t. Without a doubt, there is one huge difference between success and failure. I’d like to share this behavior trait with you so you can make a ton of money with your own online business.

The first day of the seminar I sat next to a very nice, older couple that were struggling online. The problem wasn’t information. I’d later find out that they had bought a ton of courses and products on how to make money on the Internet. In fact, some of those products ran in the thousands of dollars.

Yet, for all the products they had purchased, they still hadn’t done the simple basic things. For example, they hadn’t created any of their products. They hadn’t built a highly targeted list that they could market to. They didn’t have a website which had been updated within the last two months. Nothing.

Their problem is that they never took any real action. The single biggest mistake that keepsinternet marketers poor is lack of action.

On my plane ride home, I was reflecting on this with a very successful distract manager for a retail grocery chain. I was explaining to him that in internet marketing, you have a million choices. There are tons of excellent business models you can follow to make money. But which one should you choose?

There are a ton of different ways to create your own products. Which products should you create, and how should you go about doing it? Which markets and niches should you target? Should your headline be in blue or red, and what font should it be in? What about price point?

What I came to discover was that the couple next to me was so overwhelmed with choices that they couldn’t make any. A lot of people fear making decisions, because there is a great chance they might make the wrong decision.

Don’t fall victim to this mentally. Just act. No matter what the decision is, I only give myself 60 seconds to ponder it before I take action. If, after 60 seconds, I’m still not sure, I’ll flip a coin. Because here’s the huge secret I’ve found – It’s easier to correct a wrong decision than to make the right decision the first time around.

All the people who are cranking serious money on the internet take action quickly and on a consistent basis. You need to do that as well.
